Managing Staff Access

This guide shows how to add staff members, assign PIN codes, and control their access level on the LabelFood device.

Staff PINs are managed directly on the device:

  1. On the device, tap Settings (gear icon)
  2. Enter a Manager PIN
  3. Go to Settings → Staff PINs
  4. Tap Add Staff Member
  5. Enter the staff member’s name
  6. Assign a 4-digit PIN
  7. Set the access level (Operator or Manager)
  8. Tap Save

  1. On the device, go to Settings → Staff PINs
  2. Tap on the staff member’s name
  3. Enter a new 4-digit PIN
  4. Tap Save
  1. On the device, go to Settings → Staff PINs
  2. Tap Remove next to the staff member
  3. Confirm — the staff member no longer has access to the device

Staff who need to access the cloud dashboard (e.g., managers reviewing waste reports) must also be added in Settings → Users in the dashboard with a Owner or Manager role.

  • Use unique PINs for each staff member — never share PINs
  • Set Operator as default for floor staff
  • Reserve Manager PINs for team leaders only
  • Change PINs if a staff member leaves
